General Description:
BeOne Medicines is seeking a highly experienced Senior Administrative Assistant to provide comprehensive executive level administrative support to multiple Executive Team Members and department leadership. This individual will operate as a trusted partner to senior leaders, ensuring seamless daily operations through proactive planning, sound judgment, and exceptional execution. The role requires the ability to manage competing priorities across global time zones, anticipate needs, and independently resolve complex scheduling and logistical challenges. The ideal candidate demonstrates strong organizational and communication skills, business maturity, discretion, and the ability to operate with minimal supervision while building effective working relationships across a global matrixed organization.
Essential Functions of the Job:
- Provide high level calendar management for multiple executives, including complex scheduling across global time zones, prioritization of competing requests, proactive conflict resolution, and strategic time optimization.
- Serve as a gatekeeper and liaison for executive leaders, ensuring timely communication, follow up, and alignment with internal and external stakeholders.
- Coordinate leadership participation in internal governance meetings, board level interactions, and cross functional forums, ensuring materials, agendas, and logistics are aligned and delivered on time.
- Plan and execute complex domestic and international travel arrangements, including air, ground transportation, accommodations, itineraries, visa and passport coordination, and contingency planning.
- Lead planning and execution of in person and virtual meetings, including offsites, department meetings, workshops, advisory boards, and team events. Responsibilities include venue sourcing, vendor management, catering, AV coordination, access management, budget tracking, and onsite support.
- Support recruitment and onboarding activities, including interview coordination, candidate communications, new hire onboarding logistics, and systems access coordination.
- Prepare and process executive expense reports accurately and in compliance with corporate policies and timelines.
- Assist with contract routing, document tracking, compliance documentation, purchase order coordination, and invoice management.
- Maintain organized electronic filing systems, trackers, and dashboards to ensure visibility into key activities, deadlines, and deliverables.
- Support special projects and cross functional initiatives as assigned, ensuring timely completion and high quality outcomes.
- Provide backup administrative support to the Chief Medical Officer Hematology and other senior leaders as required.
- Demonstrate strong judgment, professionalism, discretion, and the ability to handle sensitive and confidential information.
- Supervisory Responsibilities:
- This role does not have direct supervisory responsibility but may coordinate activities of vendors or support staff in execution of meetings and events.
Education/Experience Required:
- Advanced proficiency in Microsoft Office Suite including Outlook, Word, Excel, and PowerPoint.
- Experience with expense reporting systems, travel management platforms, and document management systems.
- Ability to quickly learn and adapt to enterprise systems such as SAP, Concur, Workday, Veeva, or similar platforms.
- Strong executive presence and communication skills.
- Exceptional attention to detail and organizational discipline.
- Ability to manage ambiguity and shifting priorities in a fast-paced environment.
- Demonstrated ability to work independently, exercise sound judgment, and anticipate leadership needs.
- High level of integrity and discretion when handling confidential information.

This is the pay range that Magnit reasonably expects to pay for this position: $32.14/hour - $42.86/hour
