Description:

Job Summary: We are seeking a dedicated and detail-oriented CMM Support Specialist to join our Congress and Meetings Management team. The ideal candidate will provide comprehensive support to a team of seven, ensuring the smooth execution of all congress and meeting activities. This role requires excellent organizational skills, a proactive approach, and the ability to work collaboratively in a fast-paced environment.

 

Key Responsibilities:

Provide organizational and logistical support for congress and meeting planning, including scheduling, venue site visits, and coordination with our vendors.

  • Assist in the preparation and distribution of meeting materials, such as agendas, briefing documents, presentations, mobile applications and meeting minutes.
  • Assist with quality checks for website registrations, confirmations, mobile app content reviews, including attendee tracking and other communications.
  • Coordinate travel arrangements and accommodation for team members and meeting participants where applicable.
  • Maintain accurate records and databases related to congress and meeting activities.
  • Occasional on-site support of meetings and events at our US Headquarters.
  • Support the Director of Congress, Meetings Management in various tasks and projects as needed.
  • Ensure compliance with company policies and procedures in all meeting and congress related activities.
  • Handle inquiries and provide excellent customer service to internal and external stakeholders.

 

  • This position may require occasional evening or weekend work to support meeting activities.
  • The role involves some travel to meeting locations as needed.

Qualifications:

  • Minimum of 2 years of experience in meeting planning, event coordination, or a similar role.
  • Strong organizational and multi-tasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Experience with event management software such as Cvent, Eventbrite, or similar tools.
  • Familiarity with project management tools like Asana, Trello, Smartsheet or Microsoft Project.
  • Ability to work independently and as part of a team.
  • Attention to detail and a high level of accuracy.
  • Flexibility to travel as required.

Preferred Skills:

  • Knowledge and experience in healthcare meetings, events and congresses.
  • Knowledge of industry best practices and trends in congress and meeting management.
  • Certification in Meeting Management (CMM) or a related credential.

Working Conditions:

  • Bachelor’s degree in Business Administration, Event Management, or a related field.
