Executive Programs Operations Specialist (Contract)

Role Description 

This role is a contract assignment at Palo Alto Networks. Contractors will not be employed by Palo Alto Networks but through our trusted staffing partners. 

Palo Alto Networks is looking for an Executive Programs Operations Specialist to report to the Senior Manager, Executive Customer Programs. This role partners with the Executive Engagement, Advisory Boards, and Executive Briefing program teams to provide ongoing operational support, reporting, and process improvement recommendations.

The role requires that this individual be knowledgeable and confident when interacting with executives and have the ability to facilitate evolving business needs that intersect with internal systems and processes. This individual must be able to work well in a 

geographically-distributed, small team environment and cross-functionally across the company, have a positive attitude, strong work ethic and ability to quickly build rapport and trust with internal and sometimes external clients. This position requires on-site presence. 

 

Your Impact & Responsibilities: 

● Executive Outreach Workflow Administration: Act as the primary business lead for the Executive Outreach Request (EOR) workflow within Salesforce, ensuring membership, queue manager changes, and other requests are properly instrumented and tracked. 

● Executive Reporting & Data Synthesis: Aggregate and distribute critical weekly and monthly reports—including AI, GTM, and Superhost reports —by pulling updated data from internal systems to provide leadership with visibility into global CXO engagement and executive briefing activities. 

● Program Communications & Distribution: Maintain accurate and updated reporting priorities across multiple stakeholder groups, and their associated communications cadence. This includes authoring professional content and managing distribution lists to ensure timely stakeholder updates. 

● Queue Manager Enablement & Liaison: Support the Executive Engagement queue managers by hosting regular office hours, facilitating onboarding orientations, and communicating critical deadlines to maintain process discipline.

● Monthly Data Reconciliation (Month-End Close): Orchestrate a monthly cadence with queue managers to reconcile EORs in Salesforce; ensuring all outreach requests are accurately updated to reflect completion status, dates, and final attendee lists for historical reporting. 

● Strategic Research & Curation: Enhance executive readiness for high-priority engagements by performing attendee profile research and curation as needed. ● AI-Driven Operational Efficiency: Proactively leverage Generative AI tools (such as Google Gemini) to draft communications, summarize reporting insights, and streamline internal operational workflows. 

 

Your Experience & Skills 

This individual must be able to work well in a small, geographically-distributed team environment, possess a customer-centric approach, and have a high energy level, a positive attitude, and a strong work ethic. 

● Project Management 

○ Possess a clear understanding of the sales cycle and the potential Executive impact on C-suite relationships and sales effectiveness 

○ High-level understanding of product and sales strategy 

○ Ability to manage multiple types of projects and initiatives independently, including regular reporting on operational effectiveness and business impact. ○ Excellent time-management, prioritization and problem-solving skills and ability to multi-task with sense of urgency to meet tight timelines in a daily fast-paced environment 

● Communication 

○ Ability to effectively interface with internal and external executives and stakeholders 

○ Must be able to build strong relationships with individuals and teams within Palo Alto Networks 

○ Excellent written, verbal and interpersonal communication skills 

○ Demonstrated ability to leverage Generative AI tools to draft, refine, and optimize professional communications for clarity and impact. 

 

Qualifications 

● Required: 

○ 5+ years experience in Executive Briefing Program, Field Marketing, Events, Hospitality or other relevant field 

○ Proven experience leveraging Generative AI tools to streamline workflows and drive productivity improvements.

○ Strong data hygiene mindset with experience in monthly data reconciliation or program audits to ensure reporting accuracy 

○ Bachelor’s degree or equivalent experience 

○ This position requires on-site presence at our corporate headquarters in Santa Clara, CA 

● Preferred (A Plus): 

○ Experience with Salesforce and BriefingSource for briefing management and campaign tracking & reporting is a plus. 

○ Ability to translate raw system data (from BriefingSource or Salesforce/Tableau) into clear, concise executive-level summaries 

○ Google Gemini, Gems, and NotebookLM experience is a plus 

○ Foreign language skills are a plus 

 

Compensation

The compensation offered for this position will depend on qualifications, experience, and work location.  For candidates who receive an offer,this is the pay range that Magnit (the staffing agency) reasonably expects to pay for this position: $70/hour to $75/hour. Please note that the compensation information in this posting reflects the hourly wage only and does not include benefits.  Magnit offers Medical, Dental, Vision and 401K. Magnit is not able to provide assistance to candidates requiring sponsorship or a visa for this position.
