This is a contract opportunity. You will be employed by Magnit to work on assignment with GuideWell and subsidiary companies including Florida Blue.
The Office Administrator is responsible for executing day-to-day operational tasks and supporting staff within the office.
Essential Functions:

- CULTURE
- Support culture events by setting up, organizing, and breaking down after office functions.
- Monitors and maintains company birthday and anniversary roster
- Displays company rewards and recognition in weekly slideshow including Webby Awards and Customer Service Kudos Spotlight
- Assists Office Manager with cultural activities, events, prizes, and mailings
- Sends flowers to employees during bereavement and special occasions within established guidelines
OFFICE/FACILITIES:
- Greets visitors at security check in and escort them to conference rooms for meetings.
- Coordinate with Security to ensure that all visitors are registered and badged.
- Cleans and maintains common areas, conference rooms, break rooms and kitchen areas.
- Ensures breakrooms are fully stocked with water, tea, coffee, soda, and snacks.
- Coordinates routine maintenance cleaning and repairs with facilities staff, place service requests as needed.
ADMINISTRATIVE:
- Provide administrative support to the Office Manager and others as needed, including putting communications together for events, and drafting and sending emails.
- Communicate with vendors, venues to schedule events and activities.
- Schedule conference rooms for meetings, client visits, order and set up lunch.
Additional Required Qualifications:
- As a member of the HR team, ability to keep information confidential is a must.
- Ability to assess information shared, time management and ability to know who to go to in critical or sensitive situations must be exercised on a daily basis.
- Ability to function in Windows, to use Outlook for e-mail and to navigate on the Internet.
- Ability to use Power Point for slideshows
- Sedentary work: Exerting up to 10 pounds of force occasionally to move objects. Jobs are sedentary if traversing activities are required only occasionally.
Required Experience:
- 6+ months related work experience- Office experience, internship, or volunteer experience
Required Education:
- Education Level
- High school diploma or GED
The resource needed will provide:
- Escort for visitors to our offices
- Work with building onsite security as needed to enforce building policies/procedures
- Provide support to HR and Marketing as needed – Client onsite visits, onsite events (meetings, culture, other activities as needed), set up/breakdown/clean up
- Stocking – Office supplies, snacks, drinks to all breakrooms
- Ordering supplies as needed
- Cover for Office Manager as needed (PTO, projects)
- Must be able to lift approximately 25 lbs., load boxes onto dolly, push/pull dolly, ability to be on their feet
Job requirements:
- Hours – 8am-430p M-Th, Fridays off (32 hours weekly or can do 4x10 for 40 hours if they need FT)
