As a key member of the Recruiting Coordination team, you will partner closely with Recruiters to efficiently schedule a high volume of interviews at multiple levels and deliver a consistently high-touch candidate experience through timely, clear, and personalized communication. You’ll skillfully manage complex calendars, support collaborative projects to enhance scheduling quality, and act as the primary contact for candidates, ensuring all details and data are accurately maintained across our scheduling and tracking systems. Additionally, you’ll coordinate onboarding activities for new team members, support internal and operational processes, and help expand our interview pool by tracking and scheduling shadow sessions with precision.
What you'll do:
- Partner closely with Recruiters to efficiently schedule a high volume of candidates from L13-L16 interviews. Skillfully manage complex calendars and navigate competing priorities to coordinate availability across multiple stakeholders.
- Serve as the primary point of contact for candidates, delivering timely, clear, and personal communication to ensure high-touch and supportive candidate experience with minimal updates.
- Collaborate with RC Manager and Operations on various projects, meetings, and procedures that improve scheduling quality and efficiency that helps improve the overall candidate experience.
- Communicates verbally to express ideas, request action, ask questions, and express points of view in a respectful and effective way.
- Coordinates and executes onboarding for new RC hires, including scheduling training and meet & greets, assisting with Admin onboarding, acting as an onboarding buddy, and supporting training on scheduling processes. All while effectively communicating the purpose and importance of these activities.
- Inputs and maintains accurate data across GoodTime, Zendesk, Greenhouse, and external tracking tools, ensuring proper administration such as filling out accurate interview details in templates, reschedule reasons, inputting criteria and appropriately using pending vs. active statuses into Zendesk tickets
- Use our scheduling tool, ticketing system, and applicant tracking system to keep organized and help keep our busy team on track
- Contribute to expanding our interview pool by adding employees to shadow interviews and ensure it is track in our scheduling tool

What We’re Looking For
- 1+ years of experience in recruiting coordination, administrative support, or a similar role in a high-volume environment
- Strong knowledge of recruiting tools such as GoodTime, Zendesk, and Greenhouse (ATS)
- Proficiency in Google Workspace, including Google Calendar
- Strong problem-solving skills and sound judgment when applying existing processes and standard practices
- Highly process-oriented, organized, and detail-oriented
- Able to take initiative and confidently keep interview processes on track, including following up on feedback and nudging stakeholders as needed
- Adaptable and comfortable managing shifting priorities in a fast-paced environment
- Resourceful and proactive in identifying and resolving scheduling challenges
- Comfortable incorporating AI and automation tools into daily workflows to improve efficiency, reduce manual work, and enhance the candidate and recruiter experience
- Willingness to support Recruiting Operations with backend and administrative work, including process coordination, data accuracy, and operational tasks that enable smooth hiring workflows
