Title: Vendor Management Specialist – Engineering, Product & Design (EPD)
Location: Remote, U.S.-based (PST time zone preference)
Hours: 40 hours/week
About the Role
Pinterest's Engineering, Product & Design (EPD) organization partners with a global network of vendors and staffing suppliers to scale our technical and creative capacity. We're looking for a detail-oriented, highly organized contractor to support the Program Manager who leads vendor management across EPD.
This role is a force multiplier for the Program Manager — owning the operational rhythm, data hygiene, and cross-functional coordination that keeps our vendor ecosystem running smoothly. You'll touch everything from onboarding and compliance to spend tracking, reporting, and stakeholder communications.
What You'll Do
Vendor Operations & Onboarding
- Coordinate end-to-end onboarding for new vendors and contingent workers, partnering with Procurement, Legal, Security, and IT
- Maintain accurate vendor records across internal systems (e.g. Workday, Google Workspace)
- Track contract milestones, renewals, and expirations; flag upcoming actions to the Program Manager
Program & Project Support
- Manage the vendor management team's intake queue, triage requests, and route them to the right stakeholders
- Drive weekly operating cadences: agenda prep, note-taking, action item tracking, and follow-through
- Build and maintain trackers, dashboards, and documentation hubs (Notion, Confluence, Google Sites) used by EPD leadership
Reporting & Analytics
- Pull, clean, and analyze vendor spend, headcount, and utilization data across EPD
- Prepare monthly and quarterly business review (QBR) decks with the Program Manager
- Surface trends, risks, and cost-savings opportunities to inform leadership decisions
- Proactively utilize AI tools (e.g., Helix, Glean) to automate and accelerate reporting, data analysis, and recurring operational tasks.
Compliance & Governance
- Ensure vendor engagements comply with Pinterest's policies (security reviews, NDAs, SOWs, background checks)
- Audit active engagements for tenure limits, conversion eligibility, and policy adherence
- Support quarterly access reviews and offboarding workflows
Stakeholder Communication
- Serve as a first point of contact for hiring managers and vendor partners on operational questions
- Draft communications, FAQs, and process documentation for EPD stakeholders
- Help run vendor business reviews and capture feedback for continuous improvemen
What We're Looking For
Required
- 3+ years of experience in vendor management, procurement operations, program management, contingent workforce, or a related operations role
- Strong project management skills; comfortable juggling many concurrent workstreams with shifting priorities
- Advanced proficiency in Google Sheets / Excel (pivots, lookups, basic formulas); comfortable working with spend and headcount data
- Excellent written and verbal communication; able to translate operational detail into clear updates for senior stakeholders
- High attention to detail and a bias for closing loops
- Able to work independently in a fully remote environment with strong async communication habits
Preferred
- Experience supporting an Engineering, Product, or Design organization at a tech company
- Familiarity with VMS/MSP tools (Beeline, Fieldglass), procurement platforms (Coupa, Ariba), and HRIS (Workday)
- Working knowledge of contingent workforce compliance (co-employment, tenure policies, SOW vs. staff aug)
- Experience building dashboards in Looker, Tableau, or similar
- Comfort with light SQL or scripting is a plus, not required
- Familiarity with leveraging GenAI tools (e.g., Glean, Helix, NotebookLM) for documentation, data synthesis, and workflow automation.
